Maintenance pricing

Quote every owner the same price

Keep rekeys, paint, water heaters, and smoke alarms in one Price Book with price, cost, and a photo, so every estimate an owner sees quotes the same current rate, whoever on the team builds it.

Automations

Keep every tenant in the loop

The tenant gets a text the moment a maintenance ticket opens, and another when it is scheduled or done. A lease ending in the next 60 days can start the renewal email on its own, so the office stops making update calls.

Property Management - Leases

Every door, unit, and lease on one record

Add each property with its units - a house gets one, a fourplex gets four - and mark every unit vacant, occupied, on notice, or make-ready. A lease joins the unit to its tenants with the term, the rent, the deposits, and how rent is collected, and the Leases list shows whose lease ends in the next 30, 60, or 90 days while there is still time to renew.

Property Management - Tickets

Turn a tenant's text into a booked visit

Log each request as a maintenance ticket on its property and unit, with a category, a priority, the tenant who reported it, and whether they gave permission to enter, then assign your team or note the outside vendor. Convert to appointment books the visit with the address and the tenant already filled in, marking the visit done closes the ticket on its own, and an emergency ticket alerts your admins and managers the moment it opens.

Client Portal

One link for the lease, the rent, and every visit

Tenants open the client portal from a secure link - no account, no password, no tenant app. They see their lease with the unit, the term, the rent, and the deposits, pay rent invoices by card or bank, save the card or bank account rent is charged to, and check when the next visit is. Owners use the same portal to approve and sign your estimates.

Condition reports

Every walkthrough documented the same way

Start from the move-in / move-out condition report in the E-Sign Docs template library - room by room, with keys and meter readings - or build your own, and required fields make sure no room gets skipped. Photos from the Genaya app land on the appointment, and the finished report is saved as a signed PDF on the record.

Owner approvals

Get the owner's yes in writing

Turn what the walkthrough finds into one estimate for the owner before the turn starts. Pull the water heater, paint, and rekey from your Price Book, keep the photos on the record, and the owner approves and signs in the client portal from wherever they live. The approved estimate becomes the invoice without re-typing a line.

Rent

Rent that bills itself every month

Set the rent and the billing day on the lease, then turn on rent billing once. Every month creates its own rent invoice and charges the tenant's saved card or bank account, or emails the invoice so they pay it in the client portal. A fixed-term lease stops billing at the end of its term, and cash or check payments can be recorded on the lease too.

A day on Genaya

One Tuesday, from first ring to a new door

Follow a single October Tuesday at a residential property management company that runs on Genaya. Every moment below is the same platform and the same records - no tool switches, no re-typing.

7:26AM

A new owner calls before the office opens

An owner in Denver whose rental just went vacant - and whose old manager just retired - calls before anyone is in. The AI Receptionist answers, checks Nadia's calendar, books a 10:30 walkthrough of the house, and texts him the time.

8:15AM

Last night's texts become tickets

Two tenants texted after hours: no heat at Juniper Ct, a chirping smoke alarm on Birch St. The coordinator logs each as a maintenance ticket on its unit, the tenant gets a text the moment it opens, and Convert to appointment puts it on a tech's calendar with the address and the tenant already filled in.

10:30AM

The walkthrough finds the leak

Nadia lets herself in from the lockbox and walks every room with the condition report on her phone. The kitchen is ready, the living room needs paint, one key is missing - and the water heater is rusted through and leaking at the base. Every photo lands on the appointment.

12:40PM

The owner approves from Denver

Nadia sends the management agreement from E-Sign Docs and the make-ready estimate with the photos on the record: a new water heater, paint for the living room and hall, and new locks. Glen signs the agreement, opens the estimate from his portal link, taps approve, and signs with a finger.

1:05PM

Invoice ready, paid before the turn starts

Approving in the portal turned the estimate into the invoice on its own - same record, same $2,550. Glen pays by card right there, and Marco's make-ready visit goes on Thursday's calendar.

4:30PM

The review lands

Marco marked the Juniper Ct furnace visit done before lunch. That closed Talia's maintenance ticket on its own and sent her the review request, and five stars hit your profile before the end of the day.

6:00PM

Every door on one screen

Phones quiet. The Property Management dashboard shows the whole portfolio - occupancy, open tickets, leases ending in the next 60 days, and rent collected this month - with 22 Alder Way already added and its turn on Thursday's calendar.

FAQ

Residential property management questions, answered

The short version of what property managers ask before they switch to Genaya.

Genaya runs the operations side of every door in one platform: properties and units, leases and tenants, maintenance tickets that become booked appointments, monthly rent billing, estimates and invoices for owners, calls and texts, automations, and reporting. The first call, the walkthrough photos, the owner's signed estimate, and the payment all stay on the same records.

Log a ticket on the property and unit with a category, a priority, the tenant who reported it, and whether they gave permission to enter, then assign your team and note an outside vendor if one is doing the work. Convert to appointment books it with the address and the tenant already filled in, and marking that appointment done closes the ticket on its own. Emergency tickets alert your admins and managers right away.

Tenants call or text your business number, or fill in a request form you build with Engage Forms, and the office logs the ticket on the unit or asks Genaya AI to open it. Tickets are not opened from the client portal: there, tenants see their appointments, pay their rent invoices, and sign documents.

Yes. Set the rent and billing day on the lease and turn on rent billing. Each month creates the rent invoice and either charges the tenant's saved card or bank account, or emails the invoice so they pay it in the client portal. A fixed-term lease stops billing at the end of its term, and cash or check payments can be recorded on the lease.

Add one or more deposits to the lease. With payment schedules turned on, set up the move-in charges - security deposit, pet deposit, first month, pro-rated rent - as a payment schedule on a move-in appointment, where each charge gets its own due date and can charge the card on file automatically.

No. Genaya does not do trust accounting, owner statements, or owner distributions, so keep your accounting system for those. Owners are clients in Genaya: send them estimates to approve and invoices to pay, and each property has a Financials tab that shows income against expenses, unit by unit, for this month, last month, the last 90 days, or the year to date.

Yes. Calls ring your team with the caller's record on screen, and the optional AI Receptionist answers when nobody can. It recognizes callers already in your records, checks real availability on your calendar and books the visit, or takes a message for your team.

Yes. Genaya imports tenants and owners as clients from CSV or Excel files and from many other tools, so you do not start from an empty book. Then add each property with its units and leases in Property Management.

Your property managers do the work.Genaya handles the rest.

The AI Receptionist answers the early calls, tickets become booked visits with one tap, owners approve from anywhere, and rent bills itself every month. One platform for the office, the doors, and everything in between.
