One place for every initiative, with a brief that keeps itself current.
A Genaya AI project holds one client account, one job, one case, one campaign, one hire or one tax season. Add the records that belong to it and Genaya AI reads them live through your own permissions, keeps a written brief that refreshes only when something changed, watches for what matters and raises each item as a decision card you confirm or skip.
An initiative is bigger than a chat and smaller than the whole business
The facts about one piece of work live in the calendar, the invoices, the messages and a folder of files, and the person who knows the whole story is the one who has been chasing it. A project puts those records in one place without copying them, so the brief on top is today's truth, and the decisions it raises come from the records themselves rather than from someone remembering to check.
The initiative lives in six places
The lease is in email, the quotes are in a folder, the visits are on the calendar and the invoices are in billing. Nobody can say in one sentence where the new location stands, so the question gets asked in a meeting instead.
trending_downEvery status update is a scavenger huntThe brief is a document someone wrote once
The kickoff note from March still says the opening is in October. It was true when it was written; nothing updates it when a date moves, a quote is accepted or an invoice is paid.
trending_downThe plan is stale the day after it is writtenThe thing that needed a decision waited
An invoice sat open for a month, a document went unsigned, a visit was never confirmed. Each of them was visible somewhere; none of them was raised with the one person who could act on it.
trending_downSmall delays become expensive onesIt watches the project and raises what needs you.
Genaya AI reads the records in the project through your own permissions - live, never a copy - and watches for what matters: an invoice open too long, a visit unconfirmed, a document unsigned. Each one becomes a decision card on the project page with the record behind it. Confirm it and the action runs through your permissions with a ledger and undo; skip it and it stays skipped. The brief refreshes only when something changed, so a quiet project costs nothing.

Attach the spec sheet, the price list or a pasted table and the project answers from them by page and by row. Teach it rules that apply inside this project only - "answer only from this project", "call the location Harbor Street" - proposed by anyone on the project and approved by a manager before they count. Share the project with chosen members or the whole organization: everyone sees the same shell while every number stays what their own role can see.

Everything a project holds, in one place
A living brief
Every project keeps a written brief: what this is, where it stands, what is coming up and what needs you. A free facts pass runs first and Genaya AI rewrites the brief only when something changed, so a quiet project costs nothing. Set it to Only when I ask, Every day or Every week, refresh it yourself from the project page, and read the Brief thread, where Genaya AI writes each time the brief changes; members can read it and nobody types there.
Decisions raised when something needs you
Ten watches run on the project's own records with no model call: a visit within 24 hours not confirmed, an estimate with no answer for 5 days, a deposit unpaid 48 hours before the visit, an invoice open for 10 days, a document unsigned for 5 days, a task overdue, a milestone overdue, expenses past 90 percent of the estimate, an inbound message unanswered for 24 hours, and a meeting within 7 days with no prep note. Each kind of project starts with the watches that fit it, every number can be changed per project, and each hit becomes a decision card you confirm or skip, with the suggested next step attached.
Records, sources and rules inside the project
Add a client, a visit, an estimate or an invoice and everything related to it is read live through your own permissions; a record you cannot open cannot be added, and a member who cannot see a record sees a count of hidden ones instead. Add a saved list (open invoices for this client, visits this month) built from real fields, never free text. Drop in the files that matter - a PDF, a spreadsheet, a pasted table, a link to a sheet that is re-read only when its content changed - and ask about them by name. Write standing instructions and rules that apply inside this project only, and turn on Answer only from this project when every answer should be grounded in it.
Sharing that respects every role
A project is Only me, Members or Everyone in the organization. Members are owners, editors or viewers; everyone sees the same shell while every number stays what their own role can see, and a chat inside the project is visible to others only when its author shares it. Standing instructions are changed by an admin with the memory permission; anyone else's suggestion, and any rule a member proposes, waits for review before it applies.
Brief, Decisions, Context, Instructions, Members, Activity, and the Home widget
The composer sits on top, your recent chats under it, and the cards on the right open the panels that run the project.
Brief
The headline as of today, four fact tiles, what is coming up, the Brief thread, and a quiet Refresh brief that spends credits only when something changed.
verifiedEvery planDecisions
Needs your decision: the cards the watches raised, each with the record behind it and the suggested next step, confirmed or skipped from the page.
verifiedEvery planContext
Records, saved lists and sources in one panel with the counts against the caps: 50 records, 10 saved lists, 25 sources. Add a record from a search, build a saved list from real fields, upload files or paste a table.
verifiedEvery planInstructions
Standing instructions for this project, the approved rules, and the rules waiting for review; a rule can be shared with the whole organization one at a time.
verifiedEvery planMembers
Who can see it - Only me, Members, Everyone in the organization - and the members with their roles: owner, editor, viewer.
verifiedEvery planActivity
Everything that happened in the project, by day, with what is coming up on top, Undo while a change is still undoable, and a switch to show only what happened since the last brief.
verifiedEvery planOn the Home dashboard
The Genaya AI projects widget shows your active projects with the brief headline, the decisions waiting and the next item coming up.
verifiedEvery planFrom a name to a living brief
Start the project
Open Genaya AI, then Projects, and press New project - or ask Genaya AI to start a project for a client from that client's page and confirm the card. Pick the kind, start from a record if you like, write the standing instructions and choose who can see it.
Add what belongs to it
Add the records, a saved list or two, and the files that matter. Nothing is copied: the records stay where they are and the project reads them live, through your own permissions, every time.
Read the brief, answer the decisions
The project page keeps the composer on top, your recent chats under it and the brief, instructions, memory, context, schedule, members and activity cards on the right. Ask about this project, confirm or skip each decision, and keep the Genaya AI projects widget on Home to see every active project with its brief headline, the decisions waiting and what is coming up.
One active project on the free trial, 3 on Individual, 15 on Pro, 50 on Business, unlimited on Enterprise.
Every plan includes projects, the trial too. Each project holds up to 50 records, 10 saved lists and 25 sources. A question inside a project spends the same 10 Genaya AI credits as any answer, and the brief spends 10 credits only when something changed - a quiet project costs nothing.
Built for the initiatives that outlive a chat
Clinics and practices
A Case project for one patient's treatment plan: the visits, the balance, the consent form still unsigned, and a brief the front desk reads before the next appointment - with the numbers each role is allowed to see.
Firms and agencies
A Client account project per retainer, or a Tax season project for the whole spring: the open invoices, the documents waiting for a signature, the messages nobody answered, and a weekly brief instead of a status meeting.
Contractors and field teams
A Job project for the Maple Avenue re-roof: the estimate, the deposit due before the crew rolls, expenses against the estimate, the site photos, and a decision card the morning the visit is still unconfirmed.
A project reads the operation. It never copies it.
Projects are one part of Genaya AI. A record you add is read live from the module that owns it, a decision runs through the same actions the assistant proposes in any chat, and the brief lands on Home - no export, no second copy of the truth.
Clients
A client account project reads the client's visits, invoices, messages and documents live. Add the client once and everything related to it follows, through your own permissions.
Invoices and Estimates
An invoice open too long or an estimate still waiting becomes a decision card with the reminder ready to send, and the record it read named on the card.
E-Sign Docs
A document unsigned past its date is raised in the brief and on a card, with sending it again one confirm away and undo after it runs.
Home
The Projects widget on Home shows the projects that need a decision and the briefs that changed since you last looked, so the day starts from the project, not from the search box.
Questions teams ask before they start a project
Every plan, the free trial too. Active projects: 1 on the trial, 3 on Individual, 15 on Pro, 50 on Business, unlimited on Enterprise. Each project holds up to 50 records, 10 saved lists and 25 sources on every plan. When your plan is at its number of active projects, archive one or upgrade to start another; an archived project keeps its files for 180 days.
The same Genaya AI credits as any conversation, and a credit is one cent of Genaya AI work. A question inside a project is 10 credits and an action message is 20, exactly like the chat. The brief is 10 credits only when something changed; the free facts pass on a quiet project costs nothing. A scheduled digest is 20 credits when it completes and free when its pre-check finds nothing. Opening a project, creating one, adding a record, sharing it and saving an answer to it are free.
Client account, Job, Case, Campaign, Hiring, Tax season, Website, Event and Custom. A kind is a word that picks sensible defaults - which records it usually starts from and which watches begin turned on - never a separate product, so a clinic's case and an agency's retainer run on the same engine with different defaults.
The project's owner chooses: Only me, Members, or Everyone in the organization. Members are added as editors or viewers, the owner can hand the project to someone else, and members need the Genaya AI projects permission on their role. Everyone sees the same shell while every number stays what their own role can see; a record a member cannot open is counted as hidden rather than shown. A chat inside the project stays private to its author until they share it, and sharing warns that members will see it as the author saw it, including the numbers the author's role can see.
